Business Process Automation
Stop paying staff to copy-paste between systems. We audit your manual processes, identify the highest-leverage automation candidates, and build the integrations that eliminate them — using whichever tool (Zapier, Make, custom code) costs the least to solve your specific case.
Automation candidates we see most often
- Lead capture: web form → CRM → email/SMS → calendar booking
- Invoice processing: email PDF → OCR → Xero/MYOB → reconciliation
- Quote generation: CRM data → templated proposal → e-sign → contract
- Job dispatch: booking → SMS to crew → photos back → invoice
- Reporting: pull from 4–6 SaaS APIs → consolidated dashboard daily
- Onboarding: contract sign → provision SaaS accounts → welcome email sequence
- Compliance: scheduled audits, log archival, training reminders
Our automation philosophy
Simplest tool that solves it. If Zapier handles it for $40/mo, we use Zapier. If you need conditional branching, retries, audit logs, or higher volume, we step up to Make or n8n. If those hit limits — usually around 50,000 operations/month or when you need transactional integrity — we move to custom code. We won't pitch custom code if a $40/mo tool does the job.
Audit first, build second. The mistake most SMBs make is automating bad processes faster. Our 1-week paid audit maps your existing flows, identifies the ones worth automating, and the ones worth redesigning before automating. Output is a prioritised list with cost, time, and ROI estimates per automation — you pick which to build.
The audit deliverable (week 1)
We sit with your team for 2–3 sessions, map every process that involves data moving between systems, and produce a written report: process diagrams, time-cost estimates per process, an automation candidate list with build-cost estimates, and a recommended phased rollout. You own the report regardless of whether you proceed with us — it's a useful artefact even if you take it to a different developer.
Build phase
We deliver in 2-week sprints, prioritising highest-ROI automations first. Each automation includes monitoring, error alerting, and a human-fallback path so failures don't silently drop work. You own the workflow definitions and any custom code in your account from day one.
